JOB DESCRIPTION

Administrative Assistant
Johnston/Harmony United Methodist Churches

SUMMARY:

Part-time (20 hours per week) clerical position responsible for greeting members/visitors upon arrival at the church office, maintaining church calendar, posting updates to church website/Facebook, handling mail and email, publishing weekly bulletins. This position reports to the Pastor on a daily/functional basis.

ESSENTIAL FUNCTIONS:

  • Answer phone calls and direct as needed
  • Greet visitors and direct them accordingly
  • Publish Weekly Bulletin
    • Work with Pastor and music directors on Order of Worship
    • Verify and type announcements including flower dedications
    • Verify Prayer List
  • Check mail, drive to local Post Office daily
  • Check emails & Facebook messages several times daily
  • Maintain church calendar
  • Address envelopes for mailouts (make labels) and stamp them.
  • Send bulletins and inserts out by email to all members
  • Maintain inventory of office supplies and stamps
  • Maintain and publish monthly stewardship lists (cards)
  • Input financial information for churches (weekly)
  • Work with Pastor to prepare annual reports and prepare for Charge Conference and other meetings
  • Prepare bulletins for special worship services (Easter, Christmas Eve, etc.) and for funerals, weddings, etc. as needed.
  • Keep Pastor informed of sick members, hospitalizations, etc.
  • Order Sunday school materials as needed
  • Other duties as required by the Pastor

QUALIFICATIONS:

  • High school diploma or GED
  • Accommodate standard work schedule
  • Strong computer skills and proficiency in Microsoft Office (Word, Excel, Outlook, Publisher, PowerPoint) also must be able to learn specific software (church financial software)
  • Proficient in social media (Facebook, Instagram, etc.)
  • Proficient in website updating/maintenance/creation
  • Highly organized
  • Must have current and valid driver’s license
  • Must be able to operate office equipment to include copier, telephone
  • Must be able to handle telephone calls courteously and efficiently
  • Must be pleasant and able to work with others well
  • Must be able to maintain strict confidentiality
